AC Partners LLC (“Get ABA Suite,” “we,” “us,” or “our”) operates the Get ABA Suite platform, including Get RBT Training, Get ABA Assessments, and Get RBT Notes. This Privacy Policy describes how we collect, use, store, and protect your information when you use our websites and applications.
By using any Get ABA Suite product, you agree to the collection and use of information as described in this policy.
1. Information We Collect
1.1 Account Information
When you create an account, we collect:
- Full name
- Email address
- Organization name (if applicable)
- Professional credentials (e.g., BCBA, RBT certification status)
- Billing address and payment information (processed by Stripe; we do not store full credit card numbers)
1.2 Clinical Data
When you use Get ABA Assessments or Get RBT Notes, you may enter clinical information related to client care, including:
- Client demographic information (name, date of birth, diagnosis codes)
- Behavioral observation data
- Assessment results and clinical narratives
- Session notes and program data
- Uploaded documents (logos, charts, supporting files)
Important: Clinical data may include Protected Health Information (PHI) as defined under HIPAA. See Section 5 and our HIPAA Compliance page for how we handle PHI.
1.3 Usage Data
We automatically collect technical and usage information, including:
- Device type, browser type, and operating system
- IP address and approximate location
- Pages visited, features used, and time spent on the platform
- Referral source and navigation patterns
1.4 Cookies and Tracking Technologies
We use cookies and similar technologies to:
- Maintain your session and authentication state
- Remember your preferences and settings
- Analyze platform usage to improve our products
- Support marketing and referral attribution
You can manage cookie preferences through your browser settings. Disabling cookies may limit certain platform features.
2. How We Use Your Information
We use collected information to:
- Provide, maintain, and improve our products and services
- Process transactions and manage your account
- Generate AI-assisted clinical content (using de-identified data only — see Section 5)
- Send product updates, support communications, and service notifications
- Analyze usage patterns to improve platform performance and features
- Comply with legal obligations and enforce our Terms of Service
We do not sell your personal information to third parties.
3. AI Data Processing
Get ABA Suite uses artificial intelligence (powered by OpenAI’s GPT-4) to generate clinical narratives, study explanations, and assessment report sections.
How we protect your data during AI processing:
- De-identification: Before any clinical data is sent to AI models for processing, personally identifiable information (PII) and protected health information (PHI) — including patient names, dates of birth, and other direct identifiers — are removed or replaced with de-identified placeholders.
- Purpose limitation: AI processes clinical data solely to generate draft content within the platform. Data is not used to train third-party AI models.
- Clinician control: All AI-generated content is presented as a draft. A qualified clinician must review, edit, and approve all output before it becomes part of any clinical record.
4. Data Storage and Security
- Cloud infrastructure: All data is stored on Amazon Web Services (AWS) infrastructure, including S3 for document storage and managed databases for application data.
- Encryption in transit: All data transmitted between your device and our servers is encrypted using HTTPS/TLS.
- Encryption at rest: Stored data is encrypted using AWS-managed encryption keys (AES-256).
- Document access control: Generated reports and uploaded files are delivered through signed, time-limited URLs (via AWS CloudFront). Documents are never accessible through public URLs.
- Soft-delete architecture: Records are preserved using soft-delete to maintain audit trails and support compliance review. Data is not permanently destroyed during normal platform operation.
5. Protected Health Information (PHI)
If you use Get ABA Assessments or Get RBT Notes to document client care, the clinical data you enter may constitute PHI under the Health Insurance Portability and Accountability Act (HIPAA).
We implement administrative, technical, and physical safeguards to protect PHI, as described in our HIPAA Compliance documentation.
Key protections:
- PHI is excluded from AI processing prompts; only de-identified clinical data is sent for narrative generation
- Access to clinical data is restricted to authenticated, authorized users
- All data access is logged for audit purposes
6. Third-Party Services
We use the following third-party services in the operation of our platform:

- Export your data in a portable format
- Opt out of non-essential communications

Data retention: We retain account and clinical data for as long as your account is active or as required by applicable law and professional record-keeping standards. Upon account deletion, personal data is removed; clinical records may be retained in de-identified form as required by healthcare regulations.
8. Children’s Privacy
Get ABA Suite products are designed for use by adult professionals. We do not knowingly collect personal information from individuals under 18. If you believe a minor has provided personal information through our platform, contact us immediately at contact@getabasuite.com.
9. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices, technologies, or legal requirements. When we make material changes, we will notify you by email or through a prominent notice on our platform. Your continued use of Get ABA Suite after changes take effect constitutes acceptance of the updated policy.
