Notes Getting Started

For Clinic Administrators and BCBAs: Initial Setup

Clinic administrators and BCBAs complete the initial account configuration before RBTs begin using the platform.

Step 1: Create an Account

Visit the Get RBT Notes signup page and create an account for your clinic or practice. During setup, provide:

  • Practice or clinic name
  • Primary BCBA or administrator contact
  • Billing information

A single clinic account supports multiple RBTs, BCBAs, and clients.


Step 2: Add Your Team

From the account settings, add your clinical staff:

  • BCBAs — given supervisor access; can review and approve notes
  • RBTs — given session documentation access; submit notes for review

Each team member receives an invitation email with login credentials. No IT setup is required on their end.

Step 3: Add Clients

Create a client profile for each person receiving ABA therapy. Each profile includes:

  • Client name or identifier
  • Date of birth
  • Assigned BCBA supervisor
  • Active programs and behavior targets (used to pre-populate session templates)

Client profiles are the foundation of the session note workflow — the more complete the profile, the faster each session note will be to complete.

Step 4: Configure Session Templates

Session templates define what information is collected for each session. The platform includes a default ABA session template that covers all standard documentation elements. Templates can be customized to match payer requirements, agency protocols, or program-specific needs.

Configuration options include:

  • Which programs appear in the session template for each client
  • Which behaviors are tracked
  • Whether the session timer is required
  • Required vs. optional fields

Templates are assigned per client, so different clients can use different templates if needed.

For RBTs: Creating Your First Session Note

Once the clinic administrator has set up your account and added your clients, you are ready to begin documenting sessions.

Step 5: Log In

Go to the Get RBT Notes application and log in with the credentials provided in your invitation email. Your client caseload is visible immediately on the dashboard.


Step 6: Create a Session Note

  1. From the dashboard, tap or click New Session Note
  2. Select your client from the list
  3. Confirm the session date and time
  4. Click Start Note to open the session template

The template loads with the client’s programs and behavior targets pre-filled.

Step 7: Fill in Session Data

Work through the template fields:

  • Record session duration and location
  • For each program addressed, enter the prompt level, number of trials, and number of correct responses
  • Log any behavior incidents using the behavior tracker
  • Add observations in the free-text field

This step can be done during the session on a tablet or immediately after on any device.


Step 8: Generate and Review the AI Draft

Tap Generate Note Summary. The AI produces a SOAP-format session narrative based on your entered data.

Read through the draft carefully:

  • Verify that the Objective section accurately reflects your trial and behavior data
  • Check the Assessment section for clinical accuracy
  • Confirm the Plan section aligns with your supervisor’s direction

Make any edits needed, then confirm you have reviewed the content.


Step 9: Submit for Supervisor Review

Click Submit for Review. Your assigned BCBA receives a notification that the note is ready for review.

You will be notified when the note is approved or if your supervisor requests any changes.


Step 10: Respond to Revision Requests (If Needed)

If your supervisor requests changes, you will see their comments on the note. Make the requested edits and resubmit. Once approved, the note is complete.


You’re Ready

With setup complete and your first note approved, the daily documentation workflow becomes routine. Each session follows the same steps — open note, fill template, generate draft, review, submit. Most sessions take under ten minutes to document fully.
